FounderOS AI ("we", "us") is the data controller for personal data we process about you when you use our Service. We are committed to UK GDPR and the Data Protection Act 2018.

1. What we collect

• Account data: name, email, password hash.
• Company data: company number, VAT status, business type.
• Financial data: transactions, receipts and documents you upload.
• Usage data: pages visited, features used, device information.

2. Why we use it

• To provide the Service and your AI assistant.
• To send compliance reminders and product updates.
• To improve reliability, security and performance.
• To comply with legal obligations.

3. AI processing

We use third-party AI providers (e.g. OpenAI, Google) to generate assistant responses. Prompts and necessary context are sent to these providers under contractual terms that prohibit training on your data.

4. Sharing

We share data with vetted sub-processors (hosting, AI, analytics) only as needed to run the Service. We never sell your data. A current list of sub-processors is available on request.

5. Retention

We keep your data while your account is active and for up to 7 years afterwards to meet UK tax recordkeeping rules, unless you ask us to delete it sooner.

6. Your rights

You have the right to access, correct, export or delete your data, and to object to or restrict processing. Email privacy@founder-os.xyz to exercise any of these rights. You may also complain to the ICO.

Data is encrypted in transit and at rest. Access is logged and limited to authorised personnel. See our Security page for details.
